All data collection and processing is carried out for specific purposes. The legal basis for processing is Art. 6, para. 1 of the GDPR: legitimate interests of the data controller, pre-contractual and contractual measures. Your data will be deleted as soon as it is no longer necessary for the purpose for which it was collected. Additionally, your data will be deleted if storage is unlawful. Instead of deletion, data will be blocked if legal or factual obstacles, such as special retention obligations due to commercial and tax regulations, prevent deletion.

Processing of personal data
For technical reasons, certain data must be collected and stored when you access our website.
We use this data for the technical administration of the website, to fulfill your requests and requirements and for internal analysis and market research purposes.
Each of your accesses is stored in a log file with the following data:
- Name of the page accessed
- Date and time of the access
- Amount of data transmitted
- Message indicating whether the retrieval was successful
- IP address
- Operating system and operating system version
- Browser type and version
The data is stored in a secure operating environment on our own servers, which are not accessible to the public. Your personal data is treated as strictly confidential and will deleted no later than 30 days.
All data that you send or download to www.kpc.de is transmitted via a secure https connection. However, when contacting us via email, the confidentiality of the transmitted information during transfer cannot be guaranteed. Therefore, we recommend sending confidential information exclusively by postal mail.
Your personal data will not be passed on, sold or otherwise transferred to third parties unless this is necessary for the purpose of processing the contract or you have expressly consented to this (e.g. by setting cookies).
On certain pages, we require additional personal data to provide our services or to fulfill the contractual relationship with you.
The following data is required for registration and login to our customer center.
- Your service contract number (customer number)
- Salutation, first name, last name
- Email address

The data entered in the registration form, including service contract number, salutation, first name, and last name, is used to verify your identity and is then immediately deleted.
The email address and password entered in the registration form are required for logging into the customer center and are stored in a secure operating environment on our own servers. Upon deletion of access to the customer center, these login credentials will also be deleted.
The provision of your personal data is mandatory for registration and login to the customer center. If you do not provide your personal data, no access authorization will be set up or existing access will be deleted.
The following data is required to report an error without logging in to our customer center:
- Service contract number (customer number)
- Your email address
- First name, last name
- Phone number

- On-site contact (salutation, first name, surname)
- Phone number, on-site contact
- Email address, on-site contact
Your customer number and email address are required to verify your identity.
The personal data entered in the form is required to process the fault report and is stored in a secure operating environment on our own servers. This data will be deleted after the legal retention periods have expired
The provision of personal data is mandatory for the verification of legitimacy and processing the fault eport. If you do not provide your personal data, it will not be possible to process the fault report.
The following data is required for event registration:
- Salutation, first name, last name
- Company / Organization
- Email address
- Phone number
Any other information about yourself and the company / organization is optional.
The data is required for the organization of the event (confirmation of participation, invitation, event information). Your data will be deleted as soon as it is no longer needed for the purpose for which it was collected. If you do not provide your personal data, you will not be able to register or participate in the event.
User rights
You have the right to data portability, access, correction, deletion and restriction of processing of your personal data as well as the right to lodge a complaint with a supervisory authority in accordance with to Article 77 of the GDPR. Depending cookie settings you have selected, your personal data may be transferred to third parties. Beyond this, no data will be shared with third parties, except for requests from authorized governmental entities.

Use of SalesViewer® technology
This website uses SalesViewer® technology from SalesViewer® GmbH to collect and store data for marketing, market research and optimization purposes based on the legitimate interests of the website operator (Art. 6 (1) (f) GDPR).

Microsoft Copilot is an AI-powered assistant for our employees that works within Microsoft 365 applications, such as Word, Excel, Outlook, Teams and SharePoint. Copilot helps you create, summarize, analyze and structure information, enabling you to use existing data more efficiently.
Copilot accesses existing content and data in our Microsoft 365 environment, e.g. emails, files, chats, calendar entries or contacts, in the course of use. The underlying AI uses this information exclusively within our tenant and does not store or use it to train AI models.

Chatbase
Privacy policy for the use of Chatbase
We use the chatbot service Chatbase on our website to provide you with a convenient way to search for information about our offers and services.
The provider is Chatbase.co Inc. based at 4700 Keele Street, 215 Bergeron Centre, Toronto, ON, Canada, M3J 1P3.
The chatbot allows you to ask questions or get information about our services via an embedded text field. The processing is used to provide content in a user-friendly way and to improve our services. Legal basis
The processing is carried out on the basis of your consent in accordance with Art. 6 (1) point a GDPR, which you give by actively using the chatbot. You can cancel the use at any time. There is no automatic data processing without your input.
Data transfer to third countries
Processing takes place via the infrastructure of Chatbase and its cloud service providers, whereby personal data may be transferred to third countries, in particular the USA. Chatbase stores data on third-party servers to provide and maintain the service. The provider assures that appropriate protective measures such as standard contractual clauses in accordance with Art. 46 GDPR are implemented.
Storage period
The storage period depends on the purpose of the processing and the contractual agreements between us and the provider. The data will only be stored for as long as is necessary to provide the service. For further details, please refer to the Chatbase privacy policy.

Our website uses HubSpot, a marketing automation software provided by HubSpot, 2nd Floor 30 North Wall Quay, Dublin 1, Ireland.
HubSpot is a software company based in the USA with an European branch in Ireland. Hubspot helps us to analyze the use of our portal.
